25 Questions to Ask a Wedding Venue in Italy Before You Book

The 25 questions to ask a wedding venue in Italy before you sign — on pricing breakdowns, real capacity, curfews, catering, accommodation and contracts. Built from patterns across the 307 venues in our directory.

You will probably visit your Italian venue once — maybe twice — before you commit tens of thousands of euros to it, sign a contract governed by Italian law, and ask eighty people to board a plane. That single site visit, and the emails around it, are where the wedding is actually won or lost. Here are the questions to ask a wedding venue in Italy before you book, drawn from what we see across the 307 venues in our directory and the enquiries couples send us every week.

A note on how to use this list. You don't need to march through all 25 in one meeting — a good venue coordinator will answer half of them unprompted. The point is that by the time you're ready to pay a deposit, every one of these should have an answer, and the answers that matter financially should exist in writing. The money questions

1. What exactly does the venue fee include — and can we see the full breakdown?

This is the single most important question, because Italian venues are unusually quiet about pricing. Of the 307 venues in our directory, only 71 publish a starting price at all — the other three-quarters quote on enquiry. Among those that do publish, the median starting figure is €10,000, but what that buys varies enormously: sometimes it's bare hire of the grounds, sometimes it includes accommodation, coordination, and furniture. Never compare venues on the headline number; compare them on itemised quotes.

2. What are the mandatory extras and minimum spends?

Catering minimums, obligatory service staff, compulsory venue-side coordinators, linen and tableware hire, kitchen fees for external caterers, tourist taxes on accommodation — these are the lines that turn a €15,000 hire fee into a €50,000 invoice. 3. Can we see a sample invoice from a recent wedding of our size?

A venue that hosts thirty weddings a year can produce an anonymised final invoice for a celebration like yours in minutes. It's the fastest way to surface the charges no brochure mentions — generator hire, porterage, the second bar station. A venue that resists this request is telling you something.

4. What is the payment schedule, and what happens if we cancel or move the date?

Typical Italian structures run 25–50% on signing with the balance staged before the wedding, but terms vary widely and deposits are almost always non-refundable. Ask specifically about postponement: can the deposit transfer to a new date, within what window, and does the price change when it does?

5. Is the price fixed once we sign?

If you're booking 18–24 months out — normal for peak-season dates in Italy — ask whether catering prices are locked at signing or set at the menu tasting closer to the day. Both models are common. Neither is wrong, but you need to know which contract you're holding, and what cap applies if prices are revisited.

Capacity, spaces, and Plan B

6. What is the honest seated capacity of each space — for our guest count, not the maximum?

Venue capacity numbers describe the biggest event the property has ever legally held, not the event that feels right. Across our directory, 225 of 307 venues can host 100 or more guests and 80 can host 200-plus, yet many of those same properties are at their most beautiful at half that number. 7. What is the wet-weather plan — physically, not theoretically?

"We have an indoor option" is not an answer. Ask to stand in the actual Plan B space and picture your ceremony in it. The best venues have genuinely characterful alternatives — at Masseria Capece in Puglia's Valle d'Itria, the designated Plan B is the 1846 olive-oil mill — a large hall with five adjoining rooms and its original timber, cast-iron and steel presses intact — which is arguably as atmospheric as the outdoor barnyard. If the Plan B is a marquee erected on the morning, ask who pays for it and how much.

8. Can we hold a legal ceremony on site, or only a symbolic one?

Around half of the venues in our directory describe civil-ceremony options, but "licensed for civil weddings" is commune-specific and changes — always confirm directly and in writing. 9. How does the day work in extreme heat?

A July ceremony at 4pm on an unshaded Tuscan lawn is a medical event, not a wedding. Ask where the shade falls through the afternoon, whether ceremony times can shift late, which spaces are air-conditioned, and how the venue handles the transition from a 35°C afternoon to a warm evening. 10. Will we have exclusive use — and what does "exclusive" actually mean here?

Exclusivity is the norm in Italy: 287 of the 307 venues we list — 93% — offer exclusive use. But the word hides real differences. Does it include the night before and the morning after? Are hotel rooms still sold to outside guests? Is the restaurant open to the public at lunch? At resort-scale properties like Borgo Egnazia, which hosts up to 500 guests, exclusive spaces within the property and a full buyout are very different purchases. Get the boundaries in writing.

Food and wine

11. Is catering in-house, or do we bring our own caterer?

Italy splits into two systems. Roughly half the venues in our directory describe in-house kitchens; over a third work with external caterers, either from an approved list or freely chosen. In-house means simpler logistics and one contract; external means more control and more moving parts, plus a kitchen fee. Neither is better — but the model determines your budget structure, your tasting process, and who you're negotiating menus with.

12. When is the menu tasting, and is it included?

Most venues and caterers host tastings a few months before the wedding, often bundled into the package for the couple with a per-head charge for extra attendees. If you can't return to Italy for it, ask whether it can align with another trip — or whether the team will run it by video with detailed menus. Book the tasting date when you book the venue.

13. What are the corkage terms — and does the estate make its own wine?

Many Italian venues are working wine estates, and pouring the wine grown on the hill you married on is one of the great pleasures of the whole exercise — often at better value than imported labels. If you want to bring specific bottles instead, ask the corkage rate per bottle before you fall in love with the idea.

14. How are dietary requirements, children's meals, and supplier meals handled and priced?

Unglamorous, but it's real money at 80 guests: photographers, videographers, band, and planner all eat, usually at a reduced rate you should confirm. Italian kitchens handle vegetarian, coeliac, and allergy requirements superbly when warned — ask how far in advance final dietary numbers are due.

Music, rules, and logistics

15. What is the music curfew — the exact time, in writing?

Almost every Italian venue has one, usually between 11pm and 1am for outdoor amplified music, set by the local commune rather than the venue. The exceptions are worth knowing about: Castello di Fighine in southern Tuscany has no time restrictions on music at all, and Villa Michaela near Lucca solved the problem architecturally — a soundproof underground nightclub where the party continues after the outdoor cutoff. Whatever the answer, build your timeline backwards from it.

16. What's allowed and forbidden — fireworks, confetti, candles, drones?

Fireworks need permits and are banned outright in many dry-summer regions; open flames are often restricted in historic interiors; some UNESCO-protected properties limit drone photography. Ask for the house rules as a document, and give it to your planner and photographer before they promise you anything.

17. How do 80 guests actually get here?

Ask whether full-size coaches can reach the property or whether guests transfer to minibuses, where vehicles park, how long the transfer runs from the towns where guests will realistically stay, and what the venue recommends for the end of the night. Rural estates, lake villas, and clifftop terraces each have their own version of this problem, and it's cheaper to solve at booking than in the final month.

18. Are there mandatory or preferred suppliers?

Some venues require their florist, their production company, or caterers from a fixed list; most simply have preferred partners who know the property well. Neither is a red flag — a team that has worked forty weddings in the same garden is genuinely valuable — but you need to know before you book the photographer you've been following for two years.

19. Who runs the day, and who is our single point of contact?

Ask who you'll deal with between signing and the wedding, whether that same person is present on the day, and what happens if they leave — staff turnover between booking and wedding is common when you book two years out. If the venue provides a coordinator, clarify where their job ends and your planner's begins.

Accommodation and the days around the day

20. How many guests sleep on site — and are we required to book all of it?

On-site accommodation is one of Italy's great advantages: 290 of the 307 venues we list offer it. But capacity and obligation vary hugely. Villa Il Borgo in Chianti sleeps 55 guests across seventeen suites with another 46 at the estate's nearby inn; smaller villas might sleep twelve. Ask the exact number, whether booking every room is compulsory with venue hire, who pays for unfilled rooms, and how room allocation among your guests works.

21. Is there a minimum stay, and what do the other days cost?

Many estates sell weddings as two- or three-night exclusive-use packages rather than single days — which suits the welcome-dinner-and-recovery-brunch shape most destination weddings take anyway. Ask what the additional nights cost, what's included on the non-wedding days, and whether the pool, kitchen, and grounds are fully yours throughout.

22. When do suppliers get access to set up, and when must everything be gone?

Florists building an arch, production crews rigging lights, and hire companies delivering furniture all need hours on site. If another wedding leaves the property the day before yours arrives, setup windows compress fast. Confirm access times for load-in and load-out — and whether early access costs extra.

23. Where do the guests who don't fit stay?

Ask the venue for its honest recommendations within fifteen minutes' drive, and how many rooms those places hold. A venue that hosts international weddings weekly will have this list ready, often with negotiated rates. If they don't, that tells you how often groups of your size actually stay in the area.

The relationship questions

24. Can we speak to a couple who married here in the last year?

Not curated testimonials — an actual conversation or email exchange with a recent couple, ideally one whose wedding resembled yours in size and season. Ten minutes of candour about what the venue was like to work with is worth more than every review platform combined.

25. What goes wrong at weddings here — and what did you do about it?

Our favourite closing question. Every venue has had a thunderstorm at 5pm, a delayed band, a power cut. A coordinator who answers with a specific story and a specific fix is showing you experience and honesty at once. A coordinator who insists nothing ever goes wrong is showing you something too.

The short version

Get the full itemised cost in writing before comparing venues. See the wet-weather space and the real capacity for your number, not the maximum. Confirm the music curfew, the catering model, the accommodation obligation, and the cancellation terms before any deposit leaves your account. And always ask question 25.

Asking well is a skill — but it's learnable

None of these questions is adversarial. Good Italian venues answer all of them gladly, because clear expectations make for better weddings — and the coordinators at the properties we rate most highly volunteer most of this information before you think to ask. The questions exist to protect you from the minority that don't, and from the gap between a beautiful brochure and a binding contract.
